ESSENTIAL FUNCTIONS:

The Events Coordinator will work with the Director of Communications to design, plan, and implement Foundation events across the state, including the A Night for Nature gala, the Young Professional Association events, Board meetings, donor lunches, biologist talks, and various outdoor recreation events. S/he will also help represent the Foundation at partner events like iCAST, lionfish rodeos, and FWC’S Marine Quest. S/he will work with the Director of Communications on other projects as needed.

The Events Coordinator will work closely with Foundation staff in St. Petersburg, particularly the Director of Philanthropy, and Tallahassee. S/he reports to the Director of Communications and may oversee the work of interns, contractors, and vendors.

PRINCIPAL DUTIES:

  • Assist in the design, planning, and implementation of Foundation events or partner events, including timelines, budgets, and logistics.
  • Work closely with the Director of Communications, the CEO, members of the Board, and others to help develop and implement a vision for a Young Professionals Association, rolling it out initially on a trial basis in one or two cities.
  • Identify and secure appropriate event venues, catering, vendors, and other services necessary to ensure the success of each event.
  • Coordinate event volunteers, staff, and contractors, ensuring that all roles and responsibilities are clearly defined and executed.
  • Develop and implement event evaluation strategies to assess the effectiveness of each event and identify areas for improvement.
  • Manage event budgets, ensuring that expenses align with the Foundation’s overall financial goals.

KEY KNOWLEDGE & SKILLS:

  • Bachelor’s degree and three years related work experience or equivalent combination of education and experience. Preference for experience in nonprofit events.
  • Strong project management skills, with the ability to manage multiple projects simultaneously and prioritize competing demands.
  • Excellent communication skills, both written and verbal, with the ability to work collaboratively with a variety of stakeholders.
  • Highly organized with strong attention to detail.
  • Previous experience with young professional associations or similar groups is a plus.
  • Creative problem solver with the ability to anticipate and address potential issues before they arise.
  • Proficiency in Microsoft Office and project management tools.
  • Passion for conservation and environmental protection.
  • Knowledge of fundraising principles and practices.
  • Strong interpersonal skills and emotional intelligence with the ability to interact successfully with donors, Board members, colleagues, state employees, and the public at large.
  • Fluency in Spanish is a plus.

COMPLEXITY/PROBLEM SOLVING:

  • Ability to manage projects with many variables, set realistic deadlines, and manage to a timeline.
  • Ability to adapt or modify projects and processes in response to changing circumstances, often on short notice.
  • Ability to interpret guidelines and analyze information.

DISCRETION/LATITUDE/DECISION-MAKING:

  • Duties are performed under general supervision and established guidelines.
  • Demonstrates common sense, flexibility, and teamwork with the ability to exercise independent judgment.
  • Opportunity to act independently on assigned tasks. Refers difficult questions and unusual problems to the supervisor.

RESPONSIBILITY/OVERSIGHT – FINANCIAL & SUPERVISORY:

  • Supervise volunteers, interns, vendors, or contractors.
  • Financial responsibility may include working within a budget to complete projects, assisting with budget development, and meeting fundraising goals.
  • Works within the scope of the program’s strategic goals.

COMMUNICATIONS/INTERPERSONAL CONTACTS:

  • Demonstrated experience using effective interpersonal skills, listening, diplomacy, and tact to build strong professional relationships and motivate vendors, staff, and volunteers.
  • Well-developed written and oral communication, negotiating, and organizational skills.

WORKING CONDITIONS/PHYSICAL EFFORT:

  • Comfort working remotely.
  • Work is performed in a typical office setting and requires only minor physical exertion and/or physical strain. Work environment involves only infrequent exposure to disagreeable elements.
  • Overnight travel, usually within Florida, is required.
  • Must have personal transportation to visit venues, attend meetings, etc.
