ESSENTIAL FUNCTIONS:

The Operations Manager assists with the daily administrative operation of the Fish & Wildlife Foundation of Florida. S/he also works closely with the Chief Operating Officer and Director of Conservation & External Relations in contract administration, ensuring the timely and accurate development and monitoring of contracts with partner organizations, vendors, and others. S/he also works closely with the Director of Finance to provide support to the Foundation’s finance team, as needed. The Operations Manager reports to the COO and may supervise support staff, interns, and volunteers.

PRINCIPAL DUTIES:

1. Prepare project invoices, reimbursements, and expense reports.
2. Support budget tracking and financial documentation.
3. Assist with project reporting by compiling relevant data.
4. Assist with program execution and tracking progress on initiatives using software and other office tools.
5. Coordinate communication between different teams, volunteers, and external stakeholders.
6. Monitor timelines and deadlines for key operational projects.
7. Prepare reports for grantors and funding agencies, as requested.
8. Provide backup support to the finance team when required.
9. Manage equipment and vendor relationships.
10. Maintain organizational records and databases.
11. Track the process of onboarding and training of staff.
12. Maintain personnel records and ensure compliance with HR policies.
13. Provides administrative support and serves as office manager for the Tallahassee office.

QUALIFICATIONS:

  1. A bachelor’s degree in management, finance, or a related field and three years’ experience or an associate’s degree and five years’ experience.
  2. Demonstrated analytical skills with excellent attention to detail.
  3. Experience managing administrative duties for an office or organization is desirable.
  4. Proficient with Microsoft Office suite.
  5. Experience with QuickBooks or similar accounting software is preferred.
  6. Experience with Asana or similar project management software is preferred.
  7. Knowledge of the State of Florida rules for State expenditures is preferred.
  8. Experience with Federal and State Financial Assistance agreements and processes is preferred.
  9. Strong organizational skills with the ability to manage multiple projects at the same time.
  10. Ability to work independently.
  11. Good interpersonal and communication skills, both written and verbal.
